Dear Laura, Thank you for your follow-up. I am pleased to share the details regarding the sponsor exhibition setup at the Harnack House: _Desk & Seating:_ Each individual banquet desk measures 120 cm × 60 cm (height 75.5 cm). As a Platinum sponsor, you will receive two banquet desks (combined as one large desk) and four chairs. _Power Supply_: Each booth will be provided with an extension cord (three outlets). The sockets will be installed by the venue’s technical staff. _Screens_: Screens are not provided at sponsor booths. However, there are monitors in the lobby and outside the rooms where images or logos from all sponsors will be displayed. Additional equipment may be rented via the venue’s media team (awaiting response). _ _ _Backlit Walls & Structures:_ Backlit walls are permitted. Displays can be positioned at the columns. The Planck Lobby (where we currently plan the sponsor exhibition; floor plan attached) can also accommodate up to 10 pinboards to be shared among all sponsors. As the building is a listed historic site, attaching materials to walls, doors, or columns is not permitted. Pinboards: inner display area 116.5 × 144 cm; overall height 196 cm; overall width 126.5 cm; base width 63 cm. _ _ _Connectivity:_ Complimentary Wi-Fi is available (Network: /HH-Guest/, Password: /Curium.96/). _ _ _Logistics:_ Small deliveries can be made via the main or side entrance, depending on size. Exact delivery and pick-up times, along with details of items, will need to be confirmed in advance. I am currently negotiating a suitable delivery window with the venue; it may be possible to deliver the evening before. Dear Luca, Following up on Stephanie’s email. Splitting the invoices should be no problem. Just let us know exactly how you want the split and who they should be made out to. We plan on issuing sponsor invoices this week still. We discussed with Organizing committee the potential of sponsoring a best poster or talk prize(s). It was decided that a sum of 600 EUR would be suitable. Exactly how and if the prizes will be split will need to be discussed still with the Scientific Committee (e.g. 3 x 200, 2x300, 1x600). Credit card payment + registration

Hi All, Our IT charges 660 EUR for installing credit card payment + registration feature (on a Med Uni Vienna sub-page – they cannot do on non-Med Uni Vienna page). Are we all ok with this? (I don’t see any other options if we want to have credit card payment at this point). The idea would be that the “register now” link links to this Med Uni Wien sub-page. All the best, Kareem

But below some info Our IT/finance does not support Stripe… but they do have something that allows for credit card payments into account 😊 (so as good as). They are currently setting up and am rushing them as much as possible to have ready asap. I insisted that they have ready by 1st October, but incase it takes them a bit longer, I suggest we open registration, with bank transfer (IBAN) on 1st October and then add this feature when ready (it’s all we can do). We will also bill sponsors then (they prob even prefer bank transfer). To discuss (again) is agreement on registration fees 300 EUR students and 400 EUR all else. Is this too low (?) – had some people suggesting. At moment we can still agree on different number, once registration is open we obviously can’t. To discuss also is exactly how registration page will look (what options and what we will ask for). For example some people (like here at our Uni) need invoices in very special format (with project numbers included in special places etc.), so we want to get this right the first time and have place people enter their preferences. I have admin staff that will help issue invoices and will set up meeting with Robert to also help oversee and make sure books are balanced etc.. Soon as society is approved by police (should be in weeks) we will also have ability to open online account and do stripe and everything will be easy (but that’s realistically for next years meeting at this point). Also please remember to fill in doodle for availability for meeting on 13th or 14th to discuss/assemble program. I will send out detail of how to rank abstracts etc. closer to date. There are also several other things to discuss, regarding sponsors and publicity. All the best and hopefully see some of you tomorrow! Kareem
