I see we have this statement below; which I think means we should not share the email address. In hindsight, there should have been an option to opt out of the email addresses being shared with vendors.

Perhaps consent can be collected at registration desk/

@Michael: How did you do for Dublin meeting – where it also mentioned that sponsors get delegate list? (we took the wording for what they get for sponsorship packages from there 😊)

 

Now, we -- to my knowledge -- have no real “ok” to share email addresses of attendee’s (so if we do we would have to ask them again).

My suggestion would be to tell this person at CREST we will just share names of people attending (not email addresses).

The wording we have in sponsor packages is: “electronic delegate list supplied post congress” (i.e. no explicit mention of email addresses).

This we can put online anyway, (e.g.  as part of program, so it’s actually not really any special feature), but we are also not breaking any promise (we are giving them electronic delegate list). What are your takes?

Could you please clarify a couple of points regarding the attendee list and data sharing compliance?

  • Attendee List Sharing: Will an attendee list be shared with sponsors, such as CrestOptics, for commercial follow-up? If so, what contact details (e.g., email address, title, affiliation) will be included?
  • GDPR Compliance: We need to confirm that this sharing is GDPR compliant. Could you please confirm that attendees provided the necessary, explicit consent for their data to be used by sponsors for direct commercial contact?
  • Privacy Policy Language: For our records, please share the specific language from your registration's privacy policy that covers data sharing with third-party sponsors for marketing purposes at your earliest convenience.
