Will go ahead and mention that an electronic delegate list containing names and affiliations will be supplied, as promised. I think this is also useful for attendees (to see who is there). Many meetings do this (e.g. SPIE).

For email addresses we have consent issues.

 

If we want to play super safe we can when giving out badges have each person sign a pre-prepared sheet of paper (sorted with badges) with two boxes:

I, [name (already inserted)] consent that:

  1. My name and affiliation are listed on the electronic attendance list of the 9th International BioBrillouin Conference (accessible to all participants)

Yes [box]  No [box]

  1. My provided contact email address is listed alongside my name and affiliation (incase anyone at the meeting would like to contact me after)

Yes [box]  No [box]

Hi,

 

I think the easiest is to proceed like Kareem suggested - we compile an official list of attendees that we also include in the program (names, affiliation, no email). That way we fullfil the promise without really requiring any consent (at least I never got asked about whether my name could appear in a program list of attendees). The other requests I would simply ignore or say there’s no explicit consent.

@Michael: How did you do for Dublin meeting – where it also mentioned that sponsors get delegate list? (we took the wording for what they get for sponsorship packages from there 😊)

 

Now, we -- to my knowledge -- have no real “ok” to share email addresses of attendee’s (so if we do we would have to ask them again).

My suggestion would be to tell this person at CREST we will just share names of people attending (not email addresses).

The wording we have in sponsor packages is: “electronic delegate list supplied post congress” (i.e. no explicit mention of email addresses).

This we can put online anyway, (e.g.  as part of program, so it’s actually not really any special feature), but we are also not breaking any promise (we are giving them electronic delegate list). What are your takes?
