Incase you are wondering why i sent out condolences email before registration email. Our IT was meant to make final fixes to registration page today but will not do until tomorrow (so that was delayed by a day – this is huge headache since I could so easily do myself but they don’t want to give me editing access). I figured I would send this out already such that two emails have a little space/time between them. So registration email should go out tomorrow. I added a text on the registration page with FAQs (which I paste below). Please check if this is ok with you and tell me before 1pm if not/you want changes. I introduced a couple of new things that I think will in effect not make a difference to us but may increase submissions (such as taking abstracts for posters up until November 20th, subject to there being space and we deem them appropriate). All the best, Kareem You have landed at the registration page for the 9th International Conference on Brillouin Light Scattering for Life Sciences and Biomedical Applications. Information pertaining to the meeting can be found at https://www.biobrillouin25.com To register for the meeting please complete the online form below. Below we answer some frequently asked questions... Where and when is the meeting? The meeting will take place from the 25th to the 27th of November 2025 at the historic Harnack House in Berlin, Germany – the conference venue of the Max Planck Society. This unique location provides an engaging and peaceful setting right in the heart of Berlin. Details about recommended accomodation, travel information, etc. can all be found at the main meeting website. What does registration include? Registration includes full access to all sessions of the meeting, all lunches during the conference, and dinners on two of the conference days (one at the venue and also the banquet dinner at a nice restaurant in Berlin - location to be announced). If I submitted an abstract do I still need to register? Yes, registration is seperate from abstract submission. I.e. you have register here even if you submitted or plant to submit an abstract. Can I register and attend the meeting even if I did not submit an abstract? Yes, ofcourse! I have not submitted an abstract yet and I would like to, but the deadline seems to have passed? We will be considering abstracts submitted for talks up until the 9th October 23:59 Central European Time (prioritizing those submitted by the 7th of October). After this date you can still submit a poster, and we will consider late submission abstracts for posters up until the 20th November. These will be considered subject to available capacity. We thus recommend you submit as early as possible. Up until when can I register? We intend to keep the registration portal open until the day of the meeting. However, due to safety regulations the Venue has a maximum allowed capacity. As soon as we reach this capacity we will be forced to close registration. As such please register as early as possible. Registration payments, reciepts, invoices, attendance certificate... Registration payments are possible via major Credit Cards (VISA, Mastercard, American Express, Diners Club, JCB) as well as direct bank transfer. If you select bank transfer you will recieve an automated email with bank transfer details. We request that bank transfers are made within 2 weeks or prior to the event (whichever occurs first). For requests cocncerning custom invoices and/or reciepts (e.g. as may be required for you to obtain reimbursement from your institution) please contact: soc25@biobrillouin.org. Registration is essential for admittance to the meeting. An official attendance certificate will be issued to all participants during the meeting. When will the program for the meeting be available? We expect to publish the preliminary program around the 15th October at www.biobrillouin25.com. There may small subsequent changes to the program (if for logistical reasons we need to e.g. switch speaker time slots), so we recommend you make arrangements to attend the entire conference (from morning of Tuesday 25th November until early afternoon of Thursday 27th November), especially if you plan to present. For any and all other additional questions please contact soc25@biobrillouin.org
Hi Kareem, thanks for drafting this - there is just one point I find potentially concerning, and this is to keep poster submission and registration (and payment) open until the last minute. With this we’re risking not knowing the actual headcount until the day of the conference. We also need to tell the Harnack House 10 days in advance about the final expected number of participants, so I suggest to ask for registration/payment (and poster submission) until let’s say 12-14 days before the conference. Sounds good Kareem. I would just remove this part: ‘We will be considering abstracts submitted for talks up until the 9th October 23:59 Central European Time (prioritizing those submitted by the 7th of October). ‘ it only causes confusion. We can put a limit on the number of poster submissions and registrations up to nov 20th . Good news- there are 40 abstract submissions now. This is a good number. Would be good to get payment open, I see this as the high risk part now with no finances present yet.
