Email to all on opening of registration and some other stuff
Dear All, Thanks to those who made meeting today (and again no worries to those that didn’t) I managed to amend things on the website we discussed (specifically sponsor page, titles for talks, registration fees). Think we are good to open submissions now. Below is email I would send to the mailing list tomorrow (Saturday) early afternoon. If you have any objections, please let me know before noon. If someone gets a chance to test abstract submission would also be appreciated (not that I think anyone will submit abstract on first day of announcement but should iron out any potential problems asap). I have received a request from Specto Photonics whether it is possible that they are listed under invited speakers. Now, being a platinum sponsor they get a talk anyhow (as do Cell Sense), but listing companies under standard invited can be perceived as weird if they are also sponsors (even if they have arguably made some technological breakthroughs worthy of the status). I would thus like to propose listing talks by Cell Sense and Specto Photonics already now (pre-program) in a separate section under the heading of “Technology Advancement Talks”. This should hopefully pacify Specto Photonics. I think this alone could be interesting for many (added bonus) and make everybody happy. If you are all ok with this I will write Cell Sense and Specto Photonics and ask them for titles and presenter names, and post this on website. @Thorsten. Need plant people on list. I can ask Alex (Johnson) to come as Francesca suggested – he would surely be very happy to (and from my side great to see him again)? --he just got some big grant in Exeter to also do BLS from my understanding… Would also technically be promoting “younger talent”. Let me know. @Stephanie: You mentioned adding other hotels to website. I just wanted to give you a bit of a heads up with this squarespace thingy, since took me a bit to figure. If you add something, make sure that layout is also ok for “mobile” display and not just “desktop”. You can toggle between the two display regimes via an icon on the top right (pic of smartphone and monitor). The editing of one only partially affects the other (they are semi-independent, save for line-breaks and a few other non-obvious things). Figured best is to just toggle between the two a couple of times to see if ok in both modes before saving/publishing. @All. As mentioned by Francesca, and briefly addressed in meeting today, is issue of senior researchers not coming unless being invited even if we cover nothing. Sometimes they just need invitation in order to justify travel, taking time away from teaching, etc.. (sometimes it is also just pride I guess). Obvious names are Daniele Fioretto, Thomas Dehoux, Massimo Vassali, Peter Torok, Daryll Overby, etc. To this end I would like to ask everyone to email people they know that would fall into this category. I don’t think it is an issue to provide an official invitation letter if needed (with no financial commitment – they also would still need to pay registration). I am happy to contact those I have listed above, but I am sure you individually know many others that fall in similar boat (even some that are outside field but curious). I think it would be nice - as Francesca also mentioned - to try get a surplus from this meeting that can go into society account to sponsor future events. Submission for both talks (12min+3min questions) and/or Posters are accepted. We have assembled an impressive lineup of invited/keynote speakers as well as “technology advancement” talks, that we believe encompass the latest developments in the field and provide perspective/insights for expanding its horizons to new applications of interest to the community. The meeting venue will be the Max Planck Conference House, an intimate setting where many great meetings have taken place over the last century, and promises to provide the perfect opportunity for discussing and building ideas, and networking. Registration will open shortly (if you submit an abstract we will inform you as soon as it opens, but you will also receive information via this mailing list when it opens). Covered in the registration are all meals (lunches and dinners, including conference banquet) during the course of the meeting. Dear Kareem, the email sounds great - I also tested the abstract submission yesterday and it seemed to work on my end (got confirmation, etc.). Not sure who receives the submission though, maybe Michael? See screenshot below. As for Specto and company talks may I suggest a small change to the title: I would just call them “Technology Talks” - not sure what CellSense does can be regarded as ‘advancement’, and in this way we keep it flexible (e.g. to have an academic Tech Advancement or TechDev session). As for invitations - I agree with this, but an open question is whether you invite them to submit abstract like everyone else or already promise them a (contributed) talk without. I would strongly suggest the former, but am fine if others feel differently. I just wouldn’t want to make this conference an all-invited affair… One last point I forgot to bring up yesterday when discussing the registration price is society membership. In past meetings I think we said it would be included in the price. If we like to keep this, then I’d actually suggest to bump up the level a bit (50-100EUR). Sorry for raising this question so late but I thought better now than never.
